Position Summary
UOSSM Canada is seeking a proactive and organized Program Coordinator to manage and oversee the day-to-day implementation and documentation of assigned humanitarian projects. Reporting to the Programs Manager, the Program Coordinator will coordinate project activities, monitor progress, maintain accurate project documentation, and ensure compliance with donor requirements.
This role requires strong project management and organizational skills, as well as a commitment to transparency, accountability, and UOSSM Canada’s humanitarian mission.
Key Responsibilities

Project Management
- Manage the planning, implementation, and monitoring of assigned projects under the supervision of the Programs Manager.
- Develop and maintain detailed project work plans, timelines, and budgets, ensuring alignment with program objectives and donor requirements.
- Coordinate with field teams and implementing partners to ensure the timely and effective delivery of project activities.
- Track project progress, identify challenges, and recommend solutions to keep activities on schedule and within scope.
- Ensure projects comply with UOSSM Canada’s operational standards, policies, and donor regulations.

Project Documentation & Reporting
- Establish and maintain organized project documentation systems, ensuring all records are accurate, complete, and up to date.
- Maintain documentation related to project proposals, contracts, budgets, reports, correspondence, and donor communications.
- Support the preparation and submission of high-quality narrative and financial reports for internal review and donor submission.
- Document project results, lessons learned, success stories, and best practices to support knowledge sharing and organizational learning.
- Ensure all documentation is securely stored and easily accessible for audits, evaluations, and future reference.

Monitoring & Evaluation
- Collect and analyze data to monitor project performance and progress toward objectives.
- Support the implementation of monitoring and evaluation plans, tools, and indicators.
- Participate in project reviews and evaluations, contributing to lessons learned and continuous improvement.

Financial & Administrative Oversight
- Monitor project expenditures and ensure alignment with approved budgets.
- Review and process partner reports, invoices, and supporting documentation for accuracy and compliance.
- Collaborate with finance and operations teams to ensure efficient procurement and financial reporting processes.

Strategic & Organizational Support
- Support proposal development, project design, and needs assessments as requested.
- Participate in internal planning, coordination, and learning meetings.
- Support capacity building for field and partner staff in project management and documentation best practices.
Qualifications and Skills
- Bachelor’s degree in international development, humanitarian assistance, business administration, public health, or a related field; Master’s degree is an asset.
- Minimum of 3 years of experience managing projects in the humanitarian or non-profit sector.
- Demonstrated experience managing projects funded by institutional donors (experience with Global Affairs Canada preferred).
- Strong knowledge of project cycle management, including budgeting, implementation, documentation, monitoring, and reporting.
- Proven ability to develop and maintain organized project documentation systems.
- Excellent written and verbal communication skills, with strong attention to detail.
- Ability to work effectively in a multicultural and multidisciplinary team environment.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint); experience with project management or documentation tools (e.g., Asana, SharePoint, Google Workspace) is an asset.
- Fluency in English and Arabic; proficiency in French is an asset.
- Willingness to travel to the Middle East or other regions as required.
